Have you ever heard of a virtual inbox that you can all check and retrieve work from, so that once you take it it is out of the inbox?

I need a system where we can all view what's going on but once someone starts working on something, it has to be unavailable for the rest. Currently we have to email/instant message each other to see what everyone's up to, which is of course time consuming.

I hope I'm explaining this well, and thanks for any suggestions.
