A guess would suggest that the aide has to be no more then 30-60 seconds away from the President at all times.

I'll point out that just because the aide wasn't see in the photos of President Obama doesn't mean the aide wasn't very nearby. Looking at the photo, it wasn't an "official" photo and that the people taking the official photos take pains to avoid all the people who follow any President around whenever possible.
